Privacy Policy

Canis ("we," "us," "our") operates the Canis Discord bot and the website canisbot.com. This policy explains what data we collect, why we collect it, and how we handle it.
01 // What We Collect
Discord Account Information
When you use Canis, we receive your Discord user ID, username, and the server and voice channel IDs where Canis is active. We use this to deliver the service, manage your account, and enforce usage limits. We do not access your Discord password or direct messages.
Voice Audio
When you activate Canis with the wake word ("Hey Canis") in a Discord voice channel, your voice audio is captured and sent to a third-party speech-to-text service for transcription. We do not store your raw audio. Once your speech is transcribed into text, the audio is discarded. Only the resulting text query is retained.
Text Queries
When you interact with Canis via text using @mention in a Discord text channel, we receive and store the text of your query to process your request and improve the service.
Personal Notes
When you save a personal note through Canis (by voice or text), the content of that note is stored and linked to your Discord user ID. Your personal notes are only visible to you through Canis.
Community Notes
Aggregated and anonymized information derived from user-submitted notes may be surfaced to other subscribers. Individual contributions to Community Notes are not personally attributed to you when displayed to other users.
Payment Information
If you subscribe to a paid plan, payment is processed by Stripe. We do not store your credit card number or full payment details on our servers. We receive from Stripe a record of your subscription status, plan type, and transaction history. Stripe's handling of your payment data is governed by Stripe's Privacy Policy.
Website Authentication
When you log in to canisbot.com, you authenticate through Discord OAuth. We receive your Discord user ID and basic profile information (username, avatar) to identify your account. We do not receive or store your Discord password.
Usage Data
We track aggregate usage metrics such as query counts, feature usage, and error rates. This data is used to enforce plan limits, monitor service health, and improve Canis.
02 // How We Use Your Data
We use collected data to:
- Provide and operate the Canis service
- Process your queries and return relevant answers
- Store and retrieve your personal notes
- Generate Community Notes from aggregated user contributions
- Manage your subscription and account
- Enforce usage limits associated with your plan
- Improve the accuracy and performance of the service
- Communicate with you about your account or the service
03 // Third-Party Services
We use the following third-party services to operate Canis:
- Discord — platform through which the bot operates
- Stripe — payment processing
- Speech-to-text provider — transcription of voice queries (audio is processed in real time and not stored by us)
- Web search provider — when Canis cannot answer a query from its knowledge base, it may perform a web search on your behalf; the search query (derived from your question) is sent to this provider
We do not sell, rent, or share your personal data with third parties for their marketing purposes.
04 // Data Retention
Your account data, personal notes, and query history are retained for as long as your account is active. If you delete your account or request data deletion, we will remove your personal data within 30 days, except where we are required by law to retain it.
Aggregated and anonymized data that has been incorporated into Community Notes may persist after account deletion, as it is no longer personally identifiable.
05 // Data Security
We use reasonable technical and organizational measures to protect your data. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
06 // Children's Privacy
Canis is not directed at anyone under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal data, please contact us and we will delete it.
07 // Your Rights
You may request access to, correction of, or deletion of your personal data by contacting us. If you are located in the European Economic Area, United Kingdom, or California, you may have additional rights under applicable data protection laws, including the right to data portability and the right to object to certain processing.
08 // Changes to This Policy
We may update this policy from time to time. If we make material changes, we will notify you through the Canis Discord community server or by updating the date at the top of this page. Continued use of Canis after changes constitutes acceptance of the updated policy.
